We currently have a Regular Full-time opportunity for a Coordinator, Board Office Administration in the office of the President & CEO at Sunnybrook.

Hours of Work: Monday- Friday, flexibility required

Summary of Duties

Reporting to the President & CEO, the Coordinator, Board Office Administraion is responsible for:

  • The Executive Assistant to the SHSC Board of Directors is the primary contact pertaining to Board activities and provides administrative support (schedules, reports and orientation) to the Board, and President & CEO for all board activities
  • Liaise with University of Toronto; Ministry of Health & Long Term Care, Ministry of Finance, and Corporations Tax Branch on board related matters
  • Act as a contact on all matters relating to Board policies and procedures. Develop good working knowledge of corporate by-laws and board & administrative policies and procedures
  • Co-ordinate all Sunnybrook Board and Board committee relationship attestation and disclosure policy
  • Schedule, co-ordinate and attend all Board meetings and complete minutes for the Board of Directors ensuring compliance with Corporate Bylaws and Board requirements
  • Co-ordinate, schedule, attend and take minutes at Board retreats/strategic planning sessions
  • Plan, co-ordinate & execute the Board annual general meeting
  • Schedule meetings of the Sunnybrook Research Institute and Sunnybrook research academy Board of Directors
  • Organize special events as designated by the CEO and/or Board Chair; i.e. Board Retreats, AGM etc.
  • Provide back-up support for the executive assistant to the President as needed (i.e. vacation or time away)
  • Facilitate communications between internal teams and external stakeholders
  • Handle complaints from patients, patients’ families, visitors appropriately, work closely with Office of Patient Experience
  • Responsible for managing highly confidential and sensitive information
  • Prioritize requests for the CEO: daily review, coordination and anticipation of CEO’s needs
  • Organizes and supports Strategic Planning Council; schedule monthly meetings, send agenda/meeting materials, other notices as requested

Qualifications/Skills

  • Greater than five (5) years of experience in progressively responsible senior administrative roles
  • Extensive experience working with a CEO and Board of Directors, preferably in a healthcare organization
  • Undergraduate degree in a related discipline required or equivalent experience at an executive level
  • Proven success in providing superior service and support in a busy, demanding environment.
  • The incumbent functions under limited direction and is often required to work independently
  • Required to represent the Office of the President & CEO in a professional, customer-focused manner
  • Sound judgement, excellent analytical and problem-solving skills
  • Superior oral and written communication and interpersonal skills
  • Demonstrate excellence in drafting communications, documents and presentations
  • Advanced knowledge of MS Office, SharePoint, Zoom and other business tools and technologies
  • Demonstrated initiative, accuracy, leadership and meticulous attention to detail
  • Demonstrated judgment, tact, discretion and ability to handle complex matters of a sensitive and confidential nature
  • Ability to organize a heavy and fluctuating workload in a changing environment
  • Demonstrated record of good performance and acceptable attendance
