The PMO Specialist is specialized in many disciplines in Project Management Office (PMO) and is responsible or contributes to PMO’s Operational Activities within a Project Organization.  The PMO Specialist is expected to be autonomous and responsible in supporting the Project Manager to run the project organization and activities.

Key Accountabilities:

  • Manages and coordinates the actions of the Project Management Office covering their different expertise and disciplines of Project Management.
  • Structures and provides technical expertise on Project Management methods and tools.
  • Contributes to and supports structuring, scheduling, estimating, risks and opportunities management, executing and reporting of projects / programs / portfolios of projects.
  • Implements the assessment of the performance of the monitoring of the project.
  • Capitalizes on best practices and proposes recommendation and improvement.
  • Participates in requesting progress meetings and project reviews.
  • Develops, implements and maintains planning and scheduling in the designated tool set to ensure project activities are planned and scheduled in adequate detail
  • Assist WPMs / Project team in work assignments, dependencies, forecasts resources requirements and budgets
  • Generate critical path and monitor project performance highlighting slippages when applicable
  • Provide PMO support primarily to Project Manager but potentially also to other project stakeholders, including those belonging to other Domains or Competence Centers when participating to the project
  • Take into account all information provided by each Work Package Manager
  • Report evidence of gaps and drifts as soon as appearing, for the benefit of the Project Manager
  • Propose possible solutions and lead action plans to the Project Manager
  • Provide if necessary, functional support to the WP Managers in all PMO’s expertise areas
  • Structuring and planning: assist the Project Manager when defining the PBS, WBS, OBS, Master Schedule and RAM then on a regular basis conduct schedule monitoring and put in place appropriate actions plans to mitigate schedule slippage
  • Consolidate corresponding workload
  • Consolidating CBB/EAC: liaising with the Finance Controller, consolidate budget and costs, perform gap analysis
  • Managing Risks & Opportunities: elaborate and maintain the Risks & Opportunities Register, track risk mitigation and opportunities shaping plans
  • Producing KPIs for PM: prepare reporting and ensure action plan follow-up
  • Managing data: define and implement data management plan, prepare corresponding deliverables
  • Managing configuration: makes sure that the configuration management activities are planned (Configuration Management Plan or PMP) and performed by the relevant persons in charge (configuration manager, SEM, Industrial Manager, etc.) and coordinates the associated deliverables

Key Requirements

  • College or university graduate or equivalent working experience
  • 5 to10 years of PMO / Planner / Project experience or equivalent working experience
  • Experience working with Primavera (P6/PCM) / MS Project, Risk Management, Financial for project management, Scheduling
  • PMP / IPMA C recommended
